This notice explains what personal information the Duhaney Park Divisional Office collects through this website, why we collect it, how long we keep it, and what rights you have over it.

You can submit a report without giving your name or contact details. If you do, we will act on the report but we cannot give you a reference update, because we have no way to reach you.

Lawful basis: your consent, which you give by ticking the consent box on the form. Where a report concerns a danger to life or property, we may also act on the basis of protecting your vital interests or those of others.

When you ask about a social assistance programme

We collect your name, contact details and the programme you are asking about, so the office can guide you through the application. We do not collect your application documents through this website. Those go directly to the administering agency, or to our office in person.

If you email or use a contact form, we keep your message and contact details so we can reply and keep a record of what was discussed.

When you simply visit the site

Our web host records standard technical information, including a shortened version of your IP address, your browser type, and the pages you visited. This is used to keep the site secure and working. We shorten IP addresses before storing them, so they cannot be traced back to you individually.

This website does not use advertising cookies or tracking pixels. Cookies are set only when a member of office staff logs in to manage the site.

4. What we publish on the Community Works Board

When an issue is resolved, we may publish a record of the completed work so residents can see what the office has done.

What appears publicly: a short title describing the work, a one-line summary, the general location such as a street or community name, and the month it was completed.

What never appears publicly: your name, your phone number, your email address, your exact house number, or any photograph you submitted.

If you would prefer that no record of your report appears on the board at all, tell us and we will exclude it.

5. Photographs

If you attach a photograph, please photograph the problem, not people. Do not include images of individuals who have not agreed to be photographed, and avoid capturing house numbers or vehicle licence plates where you can.

Photographs are stored securely, shared with the responsible agency only where needed to get the work done, and are not published on the Works Board.

6. Who we share your information with

We share information only where it is needed to resolve your issue or run this website.

Government agencies and utilities. To act on your report we pass the relevant details to the responsible body, which may include the Kingston and St. Andrew Municipal Corporation, the National Water Commission, the Jamaica Public Service Company, the National Works Agency, or a relevant Ministry. We share the minimum they need. Where the agency does not require your identity, we do not give it.

Our service providers. Our web hosting provider stores the website and its database. Our email delivery provider sends the acknowledgement and status update emails to you. These providers act on our instructions and are not permitted to use your information for their own purposes.

Where the law requires it. We will disclose information if we are legally obliged to.

We do not sell your information, and we do not share it with advertisers.

7. Political activity

The Duhaney Park Divisional Office is a constituency service office. Information you provide through this website is used to deliver that service.

We do not use information collected here for party political campaigning, canvassing, fundraising, or voter contact. Reports and programme enquiries are not added to any political party’s contact list, and are not shared with any political party or campaign organisation.

If you wish to receive political updates from the Councillor, that is a separate choice you make separately.

8. Storing your information outside Jamaica

Our website hosting and email delivery services store data on servers outside Jamaica, in [the United States and Europe].

Where we transfer personal data outside Jamaica, we do so only where the destination provides an adequate level of protection for your rights, or where we have contractual safeguards in place with the provider requiring them to protect your data to the standard the Data Protection Act requires.

After the retention period, your name, telephone number and email address are permanently removed from the record. The description of the community problem and the work done remains, because it is a record of public work, but it is no longer connected to you.

10. How we protect your information

The website uses encryption in transit, so information you send through the form cannot be read while it travels. Access to reports is limited to authorised office staff, each with their own account and two-factor authentication. The site is backed up regularly and monitored for unauthorised access.

No system is completely secure. If a security breach occurs affecting your personal data, we will notify the Office of the Information Commissioner and affected individuals within 72 hours of becoming aware of it, as the Data Protection Act requires.

11. Your rights

Under the Data Protection Act, 2020, you have the right to:

  • Be told what personal data we hold about you and how we use it
  • Access a copy of your personal data
  • Correct data that is inaccurate or incomplete
  • Have your data deleted where we no longer have grounds to keep it
  • Object to processing, including processing for direct marketing
  • Restrict processing while a concern about your data is being resolved
  • Data portability, receiving your data in a usable electronic format
  • Not be subject to a decision made solely by automated means that significantly affects you

We do not make automated decisions about anyone through this website. Every report is read and actioned by a person.

To exercise any of these rights, contact our Data Protection Officer using the details in section 12. We will respond within 30 days. We may ask you to confirm your identity first, so that we do not disclose your information to someone else. There is no charge for a request unless it is repetitive or excessive.

Withdrawing consent does not affect anything done before you withdrew it. If you withdraw consent for us to hold your contact details on an open report, we may be unable to continue pursuing that issue on your behalf.
